Thank you - looks as though this has worked - I will see what the sound engineer says but meanwhile thank you and hopefully its all done!

In the X2Pro preferences (CMD + ,) if you go to the Media Handling tab and under Handling media errors select "Generate a warning and continue creating an AAF file" you should then be able to create an AAF file.
It will then display it had an issue with "ring gillian audio" but you can ignore that message, the AAF will be created but won't contain any audio from "ring gillian audio". Apologies this is taking a long time to find a fix for you, hopefully this one works for you.

Yes I did make a new XML file and that is what was reported
I have just closed down FCPX and reopened and made another XML file to be sure and got exactly the same
I have also double checked and there is no ring gillian file to be found since deleting
so why it is still referencing it I don't know.
I appreciate this is frustrating and I am grateful for your time

The error in your screenshots is because it is looking for "ring gillian audio" and cannot find it, it is looking for it because it is being used in that specifc FCPXML you are putting in X2Pro.
If you have just removed where "ring gillian audio" is being used in Final Cut you will need to export a new XML. Any changes made in FCPX will require you exporting a new XML so all of the paths and information of clips etc. are updated.

Hello,
the issue is not, i think, with the media locations.
As I have said a couple of times all the media in use is contained in the FCPX library on an external hard drive
The only way to add this location is by clicking on the external hard drive as the media location.
All libraries, events and projects are stored under the FCPX icon and clicking on the icon merely opens up the app with its associated libraries, events and projects.
Therefore I cannot add a media location other than the hard drive.
The file it is sticking on "ring gillian audio" is not being used in the project I wish to export to AAF.
Nor is it referencing that file in any way - that file is a redundant file generated during a previous edit which I have now deleted as it has no bearing on the project - and indeed to confirm this - the project plays without this file being present in any way in the library.
So now I have deleted it but I am still getting the attached information.
Ticking the trim box makes no difference ( I have set the trim to 5 seconds as requested by the sound engineer)
Is it possible to speak to someone by telephone to see if this problem can be rectified?
Otherwise I have bought your software which does not work for me.

Since you're able to get to that error message you shouldn't have an issue with the media locations anymore?
Another thing worth checking is do you have the "Trim embedded audio" option ticked (just above the start button)?

Does the xml you sent us have the same media location problems as the DEC PRE POLISH_fixed.xml you used for the screenshot?
I ask because in the xml that you sent us, I don't get those inaccessible media locations. The only ones I can see are all on Asby's Odyssey.
